How your information is handled.

This policy explains what personal information Spencer Richman Endodontics collects when you get in touch, why, and the rights you have under UK data protection law. Last updated June 2026.

Who we are

Spencer Richman Endodontics is the trading name of SJR Endo Ltd (company number 12487205), registered in England & Wales, registered office 1a City Gate, 185 Dyke Road, Hove, England, BN3 1TL. SJR Endo Ltd is the data controller responsible for your personal information.

We are registered with the Information Commissioner's Office (ICO) under reference ZB165154. If you have any questions about this policy or how your data is handled, you can contact us at hello@spencerrichman.co.uk.

What information we collect

We only collect the information you choose to send us when you get in touch by WhatsApp or email. Depending on your message, this may include:

Your name and contact details
Any clinical or health information you choose to share about yourself or, if you are a referring dentist, about a patient
The content of your messages and any attachments you send

Health information is “special category” data under UK GDPR and is treated with additional care. Please only share clinical details that are necessary, and ensure you have the patient’s consent where you are referring on their behalf.

Why we use it and our lawful basis

We use your information to respond to your enquiry, arrange and provide endodontic treatment, liaise with referring dentists, and keep accurate clinical records. Our lawful bases under UK GDPR are:

Consent — where you contact us voluntarily with an enquiry
Legitimate interests — to respond to and manage referrals and enquiries
For health data: provision of healthcare, and the management of healthcare services
WhatsApp and email

When you message us via WhatsApp, your message is handled in line with WhatsApp’s own privacy terms, which you should review separately. Email is sent and stored through our email provider. We keep correspondence secure and limit access to it.

How long we keep it

General enquiries that do not lead to treatment are kept only as long as needed to deal with them, then deleted. Where treatment is provided, clinical records are retained for a minimum of 11 years after the date of the last entry, in line with professional and legal requirements for dental records.

Who we share it with

We do not sell your information or use it for marketing. We may share information with your referring or treating dentist as part of your care, and with service providers (such as our email provider) who process data on our behalf under appropriate agreements. We may also disclose information where required by law.

Your rights

Under UK GDPR you have the right to access your information, to have it corrected or erased, to restrict or object to its use, and to data portability. To exercise any of these, contact hello@spencerrichman.co.uk
